Congratulations, once your Dibito access has been successfully verified, you can start submitting your first invoice to the eBill portal.
Step 1: Prepare QR-bill
First of all, you need a correct QR-bill in PDF format to submit. There are several options available to you:
- Generate an invoice directly in Dibito under the menu item "Examples".
- Create your own invoice on QR-Invoice.ch.
- Take one of your existing invoices and add the eBill identification of the invoice recipient somewhere in the text.
Your invoice must meet the following requirements:
- The credit account must be in the account list on Dibito ("eBill settings → Bank accounts").
- The eBill identification of the invoice recipient must either be in the QR-bill in the "Alternative procedure" field (Format:
eBill/B/hans.muster@example.org
) or somewhere in the PDF document as text (Format:eBillRecipientId:hans.muster@example.org
) are located. (See Dibito documentation.) - The invoice recipient must accept eBill invoices from your organization. You can check the status of the delivery authorization under "Recipients → Applications".
How do I find the eBill identification of my contacts?
For private individuals, the eBill identification is the e-mail address. Please note that each private individual can only enter one e-mail address in the eBill portal. This e-mail address may not correspond to the contact's primary e-mail address.
For companies, it is the company identification number (UID). You can find the UID of every Swiss company in the federal UID register. (Example: CHE-428.851.403).
You can find out whether you can send an eBill invoice to a person or a company in the Dibito interface under the "Recipient" menu item. There you will also find the 17-digit recipient ID from the eBill portal. This remains constant, even if, for example, a private individual changes their e-mail address.
Step 2: Upload QR-bill

Now go to the "Business cases" menu item in Dibito. Upload your QR-bill by clicking on the "Upload business cases" button or by dragging your file to "Store business case files here".
Your invoice will be validated by Dibito immediately after uploading. If everything is in order, it will appear in the "Ready" tab.
If Dibito detects a problem, the invoice is moved to the "Incorrect" tab. Read below under "Troubleshooting" how to proceed.
Step 3: Delivery
Now select your invoice and click on the "Submit" button below.
Dibito sends your invoice to the eBill portal. After a few moments, it will be moved to the "Submitted" tab. The invoice has now been received by the invoice recipient and is ready for payment.
Congratulations, you have sent your first invoice as an eBill.

Troubleshooting

In the "Incorrect" list you will find all invoices for which Dibito has detected an error. To avoid unnecessary transaction costs, Dibito prevents the submission of such invoices.
You can correct and save the business case manually here. It will be revalidated at this moment.
Alternatively, you can create a new invoice document and upload it again.
In rare cases, errors occur on the eBill portal that Dibito cannot recognize. You can find such cases in the "Failed" tab.
Failed business cases can no longer be processed in Dibito and must be resubmitted using a new invoice document. They cause transaction costs.
