Send your invoices from Webling as eBill invoices today. Dibito supports you with this.
Prerequisites
- You use at least Webling Basic
- You use the QR-bill/QR-payment part for your invoices.
- You have successfully verified your organization as a biller with Dibito.
One-time set-up
To create eBill invoices from Webling, you must first add an eBill identification to the corresponding members with an additional field and insert this on the invoice document. Dibito then takes over the further processing and delivery of the invoice as an eBill.
Add the additional field eBillRecipientId to your Webling members
Log in to your Webling account and go to the member data field settings:

Navigate to "Edit data fields" and insert a new data field with the following settings:
- Field name: eBillRecipientId
- Field type: Text

Add eBill identification to your Webling members
Now go to a member to whom you would like to send an eBill invoice. Enter the eBill identification of the contact in the "eBillRecipientId" field and save the member.

How do I find the eBill identification of my members?
For private individuals, the eBill identification is the e-mail address. Please note that each private individual can only enter one e-mail address in the eBill portal. This e-mail address may not correspond to the member's primary e-mail address.
For companies, it is the company identification number (UID). You can find the UID of every Swiss company in the federal UID register. (Example: CHE-428.851.403).
You can find out whether you can send an eBill invoice to a person or a company in the Dibito interface under the "Recipient" menu item. There you will also find the 17-digit recipient ID from the eBill portal. This remains constant, even if, for example, a private individual changes their e-mail address.
You can show the new column "eBillRecipientId" on the member overview by editing your view and selecting the column eBillRecipientId under the menu item "Hidden columns".


Insert eBill identification on invoice document
To do this, go to the "Documents" menu. There, click on "Invoices" and select the option "New invoice template":

Edit or copy the invoice template you are using (with QR-bill). In this example, we are editing the existing template "QR-bill (CH)":

Now add a new placeholder for the eBillRecipientId anywhere in the template:

Create a new conditional placeholder. The placeholder must be configured as shown in the illustration:

The placeholder should now be displayed in your desired position in the template as follows:

Notes on formatting
- The new text "ebillRecipientId:..." can be placed anywhere on the page.
- The text together with the variable must be separated by a colon and must not contain any spaces.
- Capitalization is ignored.
Save the invoice template.
Submit invoice
Generate invoices in Webling
Create your invoice now and select a member with a completed eBillRecipientId.

In the list of invoices, you can edit your view in the same way as the list of members and show the "eBillRecipientId" column. You can now sort by this column and thus filter all invoices for which the invoice recipient would like to receive the invoice via eBill. Select the invoices individually that you would like to send via eBill and click on "Print invoice".

Select the previously created eBill invoice template.


The eBill recipient should now be printed in the generated invoice PDF. If there are several invoices, Webling generates a multi-page PDF containing the individual invoices. Dibito is able to distinguish between the individual invoices.

Submitting eBill invoices with Dibito
Log in to your Dibito account, go to "Business cases" and upload the created PDF with the "Upload invoice" button:

If it is a PDF with several invoices, mass processing opens. If not, the document is transferred directly. During mass processing, each individual invoice is checked for deliverability. This means that the documents that can be delivered via eBill can be transferred to Dibito and the others can be downloaded again as a ZIP file.





Dibito now validates your invoices. If problems occur, the invoices are moved to the "Incorrect" status. You will find the detailed error messages when you "Edit" the invoice. In this case, you can correct the invoice directly in Dibito.
When your invoices are ready for submission to the eBill system, select them and press the "Submit" button at the bottom:

Your invoices change to the "In processing" status. The eBill system will carry out additional validations. If everything is in order with your invoices, the status will change to "Submitted" after a few minutes:

Congratulations to you. Your invoices have been successfully delivered to the recipients. You can view and pay them in the eBill portal.
